Adding Multiple Users with a Spreadsheet
To help save you time, Webstore lets administrators as many users as
they like in one go, by uploading a spreadsheet containing their
details.
- Download the sample spreadsheet by right-clicking
here and selecting "Save Target As..."
- Save the file on your computer and open in using a spreatsheet
program (e.g. Micorsoft Excel)
- Delete the example user and enter details of the users you want to
add:
- Enter the user name in the first column. The user name must be
made up of letters and numbers only
- Enter the user's full name in the second column
- Enter the user's email address in the third column. This is
the address to which notification is sent when pages controlled
by the user expire. If the user does not have an email address,
or does not want to receive notification, enter "none".
- Enter the user's password in the fourth column. The password
must be made up of letters and numbers only, and must be between
5 and 12 characters long. Users can usually change their own password;
if you do not want a user to change their own password, this can be
prevented by putting an asterisk (*) at the start of the password. The
asterisk will not be included in the password.
- If you want to create a private folder for the user, enter
"yes" in the fifth column, otherwise enter "no"
- In the sixth and subsequent columns, enter the names of any
groups you want to add the user to, one per column. If the group does
not already exist it will be created for you.
- Save the edited spreadsheet as a .csv file.
- If you are not already logged on, log
on as an administrator of your organisation.
- Go to the
Add Multiple Users
page, by following
this link,
or clicking on "Add multiple users" on the
User Manager page
under options.
- Click on the browse button, and select your spreadsheet file.
- Click on the

button.
- Your users will be added. If your organisation already has a user
with the same user name as one on your spreadsheet, you will be told
and that user will not be added or changed. If you enter the details
of a user incorrectly and the Webstore server cannot understand what
you have entered, you will be told, and that user will not be added.
- After your users have been added, you can change their details by
editing the spreadsheet and uploading it again.
- New users will be added.
- The users' full names and email addresses will be updated.
- The password will NOT be changed, so if the user has changed their
password, their change will not be lost.
- Users will be added to any extra groups in the spreadsheet, and
removed from any groups you have taken off the spreadsheet.
- Any empty groups will be deleted
- You can also change the details using the
User Manager.
