Change Page Group Properties

(relevant to Writers, Publishers, Caretakers, Administrators)

This section covers all the changes that can be made using the Page Group Options Menu, apart from assigning home and index pages. It is best read after Add Page Group Overview.

Overview

Page groups are 'hidden' when first uploaded Hidden Page Group, and can only be seen by the writer and other users with permission to see it. See Detailed User specification.. The writer retains permissions to read, change the page details (especially changing the time-to-live) and delete the page. This is unless the caretaker has taken ownership of the page group.

Publishing the page group for anyone to see Published Page Group can be done directly by a publisher for the folder it is in, or by the administrator.

Publishing can be done indirectly by the caretaker proof-reading the page group, and then marking it as suitable for publication Page Group marked as suitable for publication. A publisher or administrator can then click to publish it and be confident it has been checked by the caretaker.

Any published web page group can be made an index page for a folder Index Page. It then stays at the top of any files in the folder and users can always refer to it for information about the other page groups.

Change Page Details

The writer (or the caretaker or administrator) can click on a page group and click 'Change Page Details' in the page group menu. This allows them to edit the details they completed when they uploaded the page group.

The most common reason for changing the page details would be to push forward the time-to-live date following an e-mail informing that the page group would soon expire.

Delete Page Group

The writer (or the caretaker or administrator) can click on a page group and click 'Delete Page'. The page is deleted and the browse view refreshed. The only time a writer could not do this is if a caretaker has chosen to take ownership of the page group.

Publish/Unpublish Page Group

The publisher or administrator can click on a hidden page group and click 'Publish Page'. The page status changes from hidden (red) to published (green) and the browse view refreshed. Now anyone browsing Webstore will be able to view the page group. In reverse, the publisher or administrator can click on a published page group and click 'Unpublish Page'. The page status changes from published (green) to hidden (red) and the browse view refreshed.

Search by Page Status

Another very useful feature is that a publisher or administrator can use the Search function to find all marked pages without having to browse the site. As long as they are logged on, they can choose to search on page status:

Although a caretaker cannot publish directly, they can proof-read a 'hidden' page group and then mark it as suitable for publication. The caretaker can click on a hidden page group and click 'Mark as suitable for publication'. The page status changes from hidden (red) to marked (yellow) and the browse view refreshed.

In reverse, the caretaker can click on a 'marked' page group and click 'Remove Mark'. The page status changes from marked (yellow) to hidden (red) and the browse view refreshed.

'Take Ownership' of Page Group

As you can see in the screenshots above, the caretaker can also click to 'Take Ownership' of any page group in their folder. The original writer then loses any permissions to the page group, and for example, the caretaker gets e-mailed when the page group's time-to-live is almost up. This has been set up particularly for teachers to 'take in' pupils' work.
